WhatsApp Business with Phonovation - Q&A Guide
Purpose: This document helps end users understand the key WhatsApp Business concepts and how to connect WhatsApp to Phonovation
๐ Section 1: Key Concepts
Q1: What is the difference between a Meta Business Account, a WhatsApp Account, and a WhatsApp Business Profile?
These are three separate but connected layers in Meta's WhatsApp ecosystem. Here's how they relate:
|
Entity |
What It Is |
What It Does |
|
Meta Business Account |
Your central business identity in Meta |
Controls verification, access rights, and permissions across Meta products (Facebook, Instagram, WhatsApp) |
|
WhatsApp Account (WABA) |
Your API-enabled WhatsApp messaging account |
Enables messaging via the WhatsApp Business API - stores your templates, messaging limits, and quality rating |
|
WhatsApp Business Profile |
A phone number within your WhatsApp Account |
Represents one specific messaging number/identity that your customers see |
In simple terms:
- Meta Business Account = your overall business identity
- WhatsApp Account (WABA) = your API-enabled WhatsApp messaging account
- WhatsApp Business Profile = one specific phone number inside that WhatsApp Account
Q2: Why do I need a Meta Business Account?
The WhatsApp Business API requires a Meta Business Account. Meta uses this account to:
- Verify your business: Confirming you are a legitimate organisation
- Control access rights: Managing who on your team can do what
- Manage connected assets: Linking Pages, ad accounts, and WhatsApp accounts
- Assign roles and permissions: To individual team members
When you set up WhatsApp through Phonovation, the Meta Business Account is linked as part of the setup process. It is required to use WhatsApp via Phonovation.
Q3: What does a WhatsApp Account (WABA) include?
A WhatsApp Account acts as the main container for your WhatsApp Business API configuration. It includes:
- One or more WhatsApp phone numbers (WhatsApp Business Profiles)
- Your WhatsApp message templates (created in Phonovation, approved and managed by Meta)
- Important settings such as messaging limits, quality rating, and account status
When you connect WhatsApp to Phonovation, Phonovation connects to this WhatsApp Account via the WhatsApp Business API. This is what enables WhatsApp messaging in Phonovation, including shared inbox access, automations, and templates.
Q4: What is a WhatsApp Business Profile?
A WhatsApp Business Profile is the identity of a specific phone number within your WhatsApp Account.
- Each phone number connected to WhatsApp via the API becomes a WhatsApp Business Profile.
- If you want to connect a second phone number (e.g. a second support line), you add another profile under the same WhatsApp Account.
Q5: How do these three fit together when connecting to Phonovation?
- You sign in with your Meta Business Account (with the required permissions).
- You create or connect a WhatsApp Business Account (WABA).
- You add one or more WhatsApp Business Profiles (phone numbers).
- Once everything is connected, Phonovation can send and receive messages, use templates, and run automations through the WhatsApp Business API.
This structure allows Meta to verify your business, manage access rights, and handle messaging securely.

In short:
- The WhatsApp Business App is ideal if you mainly manage customer communication manually from a phone.
- The WhatsApp Business API (via Phonovation) is the recommended setup if you want to use WhatsApp professionally with a team, automations, and integrations.
Q7: Can I use both the WhatsApp Business App and the API at the same time?
Yes, this is called WhatsApp Coexistence. It allows a single phone number to be connected to both the WhatsApp Business App and the WhatsApp Business API simultaneously.
โ ๏ธ Important: This is only possible if the number has not already been connected to the WhatsApp Business API.
When to consider Coexistence:
- You want to use both the app and the API in parallel without choosing one or the other.
- You want to keep your existing chat history in the WhatsApp Business App.
๐ก Recommendation: We generally recommend fully migrating to the WhatsApp Business API for the most stable setup, unless the WhatsApp Business App features are essential for your business.
๐ Section 3: Connecting WhatsApp to Phonovation
Q8: How should I connect Phonovation with WhatsApp?
The right connection option depends on what you have already done with WhatsApp and what you need Phonovation to do for you. There are four options:
Option 1: Connect a Brand-New Number
Select this if you have a phone number that you have never used with WhatsApp.
- This can be a new SIM, a landline (which is free), or a spare business number.
- This is the simplest setup path, no migration involved. The number is registered fresh on the WhatsApp Business Platform.
Option 2: Move Your Number Completely to Phonovation
Select this if you currently use WhatsApp (the regular app or the Business App) and want to fully switch to Phonovation.
- โ ๏ธ Important: This is a permanent switch. Once completed, your number will no longer work in the WhatsApp app.
- All messages will be managed through Phonovation from that point on.
Option 3: Use WhatsApp Business App and Phonovation Simultaneously
Select this if you use the WhatsApp Business App and want to keep using it alongside Phonovation.
- This uses Meta's Coexistence flow, which allows a single number to be connected to both the WhatsApp Business App and the WhatsApp Business API at the same time.
- Note: This feature is currently in beta. Some feature limitations may apply.
Option 4: Move to Phonovation from a Different API Provider
Select this if you already use the WhatsApp API through another provider.
- During this flow, you will disconnect your number from your existing provider and reconnect it to Phonovation via Meta Business Manager.
- Your number and message history are retained, but there will be a brief offline period during migration.

๐ก Helpful Notes
- The WhatsApp Business API requires a Meta Business Account, there is no way around this.
- A WhatsApp Business Profile is always tied to a phone number and must be set up correctly to send/receive messages.
- Phonovation guides you through this setup, but understanding the difference helps when troubleshooting permissions, templates, or account access.
- An API is simply a way for two apps to talk to each other, it's what allows Phonovation to plug into your WhatsApp number and manage messages, rather than you doing it all manually through the app on your phone.
